Finance & Admin Manager-  PT - Hours to Suit


Finance
Month End Accounts process – collecting invoices / liaising with our Accountants/whole team via internal platforms, Debt chasing
Management of supplier invoices /project coding and allocating/recording and tracking
Management of client invoicing aligning against POs/SOWs/recording & tracking/processing
Preparing weekly Flash Report
Management of team time sheets/project hours in google sheets and in platform
Team expenses – recording/processing
Liaise with FD on Management Information file production – month end tasks

HR
Assist with recruitment – advertising, organising interviews etc
Manage enrolment and induction process for new employees
Manage exit process for leavers
Manage all internal HR admin and liaise with HR advisors where necessary
Writing and updating job descriptions/job adverts
Organise team meetings, training and team social events
Responsible for keeping all HR records up to date & relevant training records current
Manage Employee Assistance Programme/Well Being for the team
Organising team gifts/client gifts etc

HEALTH & SAFETY
Manage compliancy for the company with external H&S partner
Keep internal H&S records and documentation up to date
Manage and record team H&S training on platform


ADMIN/IT
Diary Management with the CEO - delegate access to set up – creating and managing meetings for CEO
Support on IT set up/issues for employees with IT manager

OFFICE MANAGEMENT
Manage and track amazon / stationery orders
Facilities - building upkeep issues with managing agent/relationship with other tenants
Assisting team with general admin tasks as required – Inside Sales, Marketing with Prospecting events etc
Responsible for general good upkeep of the office/meeting rooms etc

Person Specification:

The ideal candidate for this role is enthusiastic, self-motivated and proactive, eager to gain new knowledge, to apply this knowledge to help drive business development, to take on new responsibilities and to advance in his or her career. This is a small team which requires a hands-on person but with real opportunity for professional development in a growing marketing agency.

In essence, this person will become the glue that manages tasks across the whole of Sherpa – it is an essential role that will allow the CEO and Senior Management team the time to concentrate in growing the business.

Essential Skills:
• Intellectually strong – with a good academic background to degree level
• Have exceptional attention to detail
• Have the ability to handle confidential issues with sensitivity and maturity
• Full Microsoft Office suite expertise – PowerPoint, Excel, Word
• Organised and diplomatic
• Excellent communication skills, both verbal and written
• A true team player, able to work with and support all stakeholders
• Proven management experience
• Proven project management experience – juggling multiple projects at the same time
